Administrative Assistant to the Dean of PHS
Saybrook University is a private, non-profit, and WASC-accredited leader in distance education. The University is comprised of three colleges: the Graduate College of Mind-Body Medicine, the Graduate College in Psychology and Humanistic Studies, which offers degrees in psychology, human science, and organizational systems, and LIOS Graduate College. The school has offered masters and doctoral programs at a distance for 40 years. The learning model includes a blend of distance learning through individually mentored and cohort-based formats, increasingly delivered in an online environment, and residential conferences.
This position will work 20 hours/week, requiring time on Tuesdays, Wednesdays and Thursdays. Major responsibility is to give administrative support to the Dean.
Essential duties and responsibilities include:

Meetings (including Faculty Council, Academic Leadership Council, Dean meetings)

Meeting preparation (prepare agenda, schedule room, notify participants) - Take and distribute minutes
-

Manage Dean’s schedule and communications including
-
Scheduling appointments - Answering initial inquiries including routing inquiries to appropriate office

Handle administrative details including
-
Coordinating work flow and keeping projects on schedule, - Copying, and filing
- Supporting production of reports (typing, editing, producing and distributing final copies)
- Other responsibilities that may be delegated by dean.

QUALIFICATIONS :
- At least 3 years experience as administrative assistant.
- Proficiency in use of software (Microsoft Word, Excel. Powerpoint.)
- Strong computer skills, Microsoft Power Point, Excel, and Project skills highly desirable.
- Excellent written and oral communication skills.
- Exceptional interpersonal skills.
- Ability to work overtime on an as needed basis.
- Ability to work under pressure.
- Ability to interact with students, faculty, staff and community with diplomacy.
- Respectful of confidentiality and discretion.
- Flexible and calm, with a sense of humor.
- Organizational efficiency, accuracy and attention to detail essential.
- Ability to multi-task.
- Bachelor's Degree or higher
